Custom business management software
Software built around the way your business actually runs. One system for jobs, clients, approvals, invoicing and reporting, connected to the tools you already use, with a first release live in 6 to 10 weeks.
What we build
Every build is different, but these are the modules most operations teams need. We start with the two or three that remove the most manual work, then extend.
Operations dashboard
One screen showing jobs, orders, capacity and revenue in real time, so nobody has to ask for a status update.
Workflow and approvals
Your process encoded as stages, owners and rules. Work moves forward automatically and stalls become visible.
Clients, jobs and projects
A single record for every client and job, with history, documents and communication attached to it.
Inventory, scheduling and resources
Track stock, assets, technicians or rooms and assign them without double-booking or manual spreadsheets.
Quotes, invoices and payments
Generate quotes and invoices from live data, send them, and see what is paid, overdue or in dispute.
Reporting that leadership trusts
Margin per job, utilisation, pipeline and cash position, calculated from the same data your team works in daily.
Roles and permissions
Granular access so field staff, managers and finance each see exactly what they should, and nothing more.
Audit trail and data export
Every change logged with who and when, plus clean exports so your data is never locked inside the tool.
Integrations
Your new system should not become another island. We connect it to the tools your team already lives in, so data is entered once and appears everywhere.
CRM and sales
HubSpot, Pipedrive, Salesforce or the CRM we set up for you. Deals flow straight into delivery without re-keying.
Accounting and finance
Xero, QuickBooks, Sage and local providers. Invoices, payments and reconciliation stay in sync.
Payments
Stripe, PayPal and bank transfer flows, including recurring billing and payment links on invoices.
Email and calendars
Google Workspace and Microsoft 365 for automated notifications, shared calendars and single sign-on.
Team messaging
Slack, Teams and WhatsApp alerts so the right person hears about the right event immediately.
Anything with an API
Shipping carriers, e-signature, telephony, ERP or legacy in-house systems, connected through APIs or scheduled syncs.
Delivery timeline
A typical first release. You see working software every week, and nothing goes live until your team has used it on real data.
- Step 01
Week 1
Discovery and workflow mapping
We sit with the people who do the work, map the real process, and agree what the first release must replace.
- Stakeholder interviews
- Current-state process map
- Prioritised feature list
- Fixed-price build proposal
- Step 02
Week 2
Architecture and prototype
Data model, permissions and screens designed and reviewed as a clickable prototype before a line of production code.
- Data model and integrations plan
- Clickable prototype
- Sign-off on scope for release one
- Step 03
Weeks 3 to 6
Build in weekly increments
Working software every week on a staging environment you can log into, so feedback lands while it is still cheap.
- Weekly demo and feedback loop
- Core modules built and tested
- Integrations wired and verified
- Step 04
Weeks 7 to 8
Data migration and rollout
We move your existing records in, train the team, and run the new system alongside the old one until it is trusted.
- Migration from spreadsheets or legacy tools
- Team training and documentation
- Parallel run, then go live
- Step 05
Ongoing
Support and evolution
Monitoring, backups and a monthly improvement budget so the system keeps pace with how the business changes.
- Uptime monitoring and backups
- Priority bug fixes
- Quarterly roadmap review
Common questions
- How much does custom business management software cost?
- Most first releases land between a focused internal tool and a full operations platform. We scope in a paid discovery workshop and give you a fixed price per phase, so you always know what the next release costs before it starts.
- Why not just use an off-the-shelf tool?
- Off-the-shelf software is excellent when your process is standard. When your margin comes from doing something differently, generic tools force workarounds, spreadsheets and double entry. Custom software encodes your process instead of fighting it.
- How long does it take?
- A usable first release typically ships in 6 to 10 weeks: 1 to 2 weeks of discovery and workflow mapping, 4 to 6 weeks of build in weekly increments, then rollout and training. Bigger platforms are delivered as a sequence of releases on the same rhythm.
- Do we own the software and the data?
- Yes. You own the source code and the database. We can host and maintain it for you on a support retainer, or hand everything over to your internal team.

Bring us the spreadsheet everyone hates. We will map the process, tell you honestly whether custom software is worth it, and price the first release.
